JewelersBid
Media Retention Policy
Last updated: September 11, 2026
This page explains, plainly and accurately, what happens to the photos and video you upload to JewelersBid, and when — matching how the platform actually works today, not a general statement.
1. Where your media is stored
Every photo, video, and certificate/receipt image you upload is stored in a private file storage bucket. It is never public and never given a permanent link. It can only be viewed through a short-lived, expiring signed link generated after checking that the viewer is actually authorized to see it (you, an eligible jeweler, or the founder) — see the Privacy Policy for exactly who that is.
2. Draft requests: deleted after inactivity
If you start a request and leave it as a draft without submitting it, its photos and video are automatically deleted after 30 days of inactivity (no edits, no added or removed photo/video). A warning is shown on your account starting 14 days of inactivity, before that deletion happens, so you have time to update the draft or submit it if you want to keep the media. Deleting a draft's media never deletes the draft record itself — only the files are removed; you can still see that the draft existed and re-upload media if you resume it.
3. Submitted requests: media is not currently auto-deleted
Once a request is submitted, it becomes a real business record — it may have offers, a selected jeweler, or messages attached to it, and jewelry/precious-metal secondhand-dealer recordkeeping rules commonly require photos of a purchased item to be kept for a period of time. Because of that, JewelersBid does not currently automatically delete the media for a submitted, closed, or expired request. This is a deliberate decision to wait for attorney review of the applicable recordkeeping requirements (see Terms of Service) rather than delete something that may need to be retained. This may change once that review is complete, and this page will be updated if it does.
4. What deletion actually removes
Deleting media removes the photo/video files themselves from storage. It never removes the underlying request record, its basic details, any offers received, any messages, or any completion record — those remain on file as your account and transaction history.
5. Certificate or receipt photos
If you choose to upload a photo of a certificate or receipt, you should redact or cover any unrelated personal, payment, or address information on it before uploading — JewelersBid does not review or redact these images for you.
6. Questions
Questions about this policy, or about a specific request's media, can be sent through the Contact page.
